Client Concierge |
Job Summary: Assists patients in a professional, accurate, and courteous manner using multiple platforms of patient communication. Ensures the patient /client feels welcome to the practice via patient communications. Monitors and modifies provider’s schedules as necessary to maximize efficiency and client experience. Effectively answers calls in a timely manner and routing any messages as required.
Education and Experience: 1. High school diploma or equivalent 2. Two years minimum experience in medical aesthetics, dermatology, plastic surgery 3. Fluency in multiple languages desired
Essential Skills and Abilities: 1. Ability to effectively triage calls from patients/clients to ensure appropriate scheduling 2. Excellent communication skills 3. Effectively educate patient/clients on products/ services offered, provider credentials and promotional offers 4. Ability to work as a team member 5. Ability to manage multiple tasks simultaneously 6. Empathetic with patients/clients needs and concerns 7. Well organized with attention to detail 8. Strong computer skills 9. Responsible and timely 10. Customer-focused, detail-oriented, and efficient 11. Responding efficiently and accurately to callers, explaining possible solutions, and ensuring that clients feel supported and valued 12. Exceptional customer service, active listening, and verbal and written communication skills, professional phone voice 13. Understanding of company products, services, and policies 14. Strong time management and decision making skills 15. Available to work Monday-Friday, and every other Saturday
Client Concierge Responsibilities: 1. Appointment scheduling 2. Receives and upload patient/client photos as required 3. Schedules all appointments with the appropriate provider and time required 4. Assists with phone call confirmations when needed 5. Cancels and reschedules appointments as necessary; conducts follow-up on no-shows 6. Reads and responds to office email and forwards message to correct recipient as needed 7. Places and collect payment for phone orders 8. Prepares, reads, and responds to office text feed for appointment confirmation and or requests 9. Takes accurate messages and directs them in a timely manner 10. Actively participates in team huddle 11. Follows all location protocols pertaining to job specific roles 12. Proficient in discussing all treatments and retail products offered 13. Communicates with patient/clients on all platforms: phone, text, email and social media 14. Assists in general office duties as needed 15. Flexible in working as a communicate concierge or patient care coordinator as needed 16. Proficient in building invoices to check out patients in the treatment room and/or at the front desk. Client Concierge are expected to check out patients. Client Concierge must be trained to competency on how to receive payment from a patient including on how to process rewards, etc. 17. Assists in the overall cleanliness of the location 18. Engages in active listening with callers, confirming or clarifying information and diffusing angry clients, as needed 19. Builds lasting relationships with clients and other call center team members based on trust and reliability 20. Utilizes software, databases, scripts, and tools appropriately 21. Makes sales or recommendations for products or services that may better suit client needs 22. Takes part in training and other learning opportunities to expand knowledge of company and position 23. Adheres to all company policies and procedures 24. Actively communicated in appropriate Slack threads as needed 25. Consistently knowledgeable about current promotions 26. Assists in the training of new team members 27. Engage and participate in content development for social media

Patient Care Coordinator |
Job Summary: Assists patients in a professional, accurate, and courteous manner using multiple platforms of patient communication and in-person verbal communication. Ensures the patient /client feels welcome to the practice. Monitors and modifies provider’s schedules as necessary to maximize efficiency and client experience. Effectively rooms and preps patients for service appointments. Effectively assists Provider’s with patients in the back office. Responsible for back office inventory and restocking: medical supplies, injectables supplies, etc.
